In exchange for providing you with an exceptional retreat opportunity described at www.heleneroyyoga.com ("Our Website"), you agree to these terms and conditions ("Contract") for your selected yoga retreat ("Yoga Retreat").
To attend the Yoga Retreat, you must:
Pay the full retreat price listed on Our Website in US Dollars.
Accept all Terms and Conditions in this Contract
Submit a $500 (US-based retreat) or $1,500 (international retreat) non-refundable deposit via Zelle, check, bank transfer, or credit card (credit card fees apply) OR pay in full.
Deposit Application: Your deposit will be applied toward the total retreat price.
Final Balance: The Remaining balance is due by the date listed on Our Website (the “Final Payment Due Date”).
Late Bookings: If you book after the Final Payment Due Date, full payment is required immediately.
Late Payment: If payment is not received within 15 days after the Final Payment Due Date, we reserve the right to forfeit your spot without refunding your deposit.
Insurance Requirement: We strongly recommend travel and health insurance, as we do not provide coverage for any losses, cancellations, medical issues, or theft.
No Refunds for Medical Issues: We do not offer refunds for trips, travel, or medical issues before or during retreats.
Recommended Coverage: Purchase "Cancel For Any Reason" (CFAR) insurance within 14 days of your first payment for maximum protection.
Your Responsibility: You are 100% responsible for all financial consequences of trip cancellation, medical care abroad, lost belongings, and travel delays.
Cancellation Notice: All cancellations must be submitted in writing to heleneroyyoga@gmail.com and will take effect upon receipt of our written confirmation.
Deposits: All deposits are non-refundable for any reason. However, you may transfer your booking to another person (subject to our approval).
Cancellation Terms: Final balance due dates are listed on Our Website.
Before final balance due date: Refund of payments beyond the deposit, minus 4% processing fee
After final balance due date: No refund available (100% forfeiture)
Replacement Guests: If you find a qualified replacement who pays in full, we will transfer the booking at no charge.
No-Show Policy: No refunds will be issued for failure to attend without prior written cancellation.
Partial Participation: No refunds for late arrival, early departure, or non-participation in activities.
Refund Processing: All approved refunds include a 4% processing fee and will be issued within 14 business days.
Low Enrollment: We may cancel retreats due to under-enrollment and will provide full refunds. You cannot claim additional compensation for related expenses.
Force Majeure: For events beyond our control (e.g., pandemics, natural disasters, government actions), we reserve the right to cancel or postpone without liability and will not provide refunds. Seek reimbursement through travel insurance.
Safety Changes: We reserve the right to modify any aspect of the retreat for safety reasons or due to adverse conditions, without providing refunds.
Teacher Changes: If the listed teacher is unable to attend, we will provide a similarly qualified replacement. No refunds will be issued for changes to teachers.
You are responsible for obtaining all required:
Passports (valid for at least 6 months beyond travel)
Visas and immunizations
Flight bookings
Driver's licenses
We are not responsible for entry refusal due to incorrect documents and will not provide refunds.
Roommate Requests: Please provide the names of your roommates at registration. We accommodate on a first-come, first-served basis.
Shared Rooms: We will pair solo travelers by gender when possible; however, we cannot guarantee specific arrangements.
Included Activities: Listed on Our Website in the retreat price.
Optional Activities: We are not responsible for third-party activities, excursions, or treatments not included in the retreat price.
Marketing Use: We will photograph and video retreats for promotional purposes.
Consent: By attending, you grant royalty-free rights to use your image.
Opt-Out: Contact us before the retreat to be excluded from photography.
Research Responsibility: You are responsible for researching destination safety and obtaining recommended vaccinations.
Health Confirmation: By booking, you confirm that you are in good health and capable of participating in retreat activities.
Self-Care: You can care for yourself and have no medical conditions that put yourself or others at risk.
We will not provide refunds if you are unable to participate due to COVID-19 or any other illness. Seek reimbursement through travel insurance.
Participant Selection: We may accept or reject participants for the benefit of all.
Disruptive Behavior: We reserve the right to expel disruptive participants without refund.
Early Departure: We are not responsible if you leave early or undertake non-itinerary activities.
Physical Readiness: You acknowledge that you are medically and physically fit for retreat participation.
Personal Responsibility: You are financially responsible for your well-being and must follow safety instructions.
Yoga Modifications: We offer modifications for different levels, but you must listen to your body and modify as needed.
No Medical Liability: We are not licensed medical providers. Consult your doctor before attending.
You assume all risks inherent in travel and physical activities, including:
Delays, injury, illness, death
Property loss or damage
Food allergen exposure
Remote location challenges
Limited medical access
Cultural and political differences
You are responsible for researching travel information and making informed decisions about participation.
You agree to release, waive, and hold harmless Helene Roy Yoga LLC and all representatives from any claims, damages, or losses arising from retreat participation, including yoga practices, spa treatments, tours, and food allergies, unless caused by our gross negligence or willful misconduct.
YOU MUST ACCEPT ALL TERMS AND CONDITIONS BEFORE PARTICIPATING IN ANY YOGA RETREAT WITH HELENE ROY YOGA LLC.
